Parts & Service Solutions Coordinator

Researching, quoting and coordinating parts for service work — the role that decides whether a technician arrives with the right part.

Access is a premier manufacturer’s representative and service provider based in Wisconsin, supporting mission-critical infrastructure across the state — with national and international reach. We work on systems where failure is not an option — power, cooling, and monitoring solutions that keep facilities operational.

We are looking for a driven, detail-obsessed Parts & Service Solutions Coordinator who takes pride in getting things right and is energized by solving problems for customers.

A note on scope: this is a single, well-rounded role at a growing but still small company — not two jobs stitched together. The parts research and customer work is the heart of it, with light, occasional warehouse and receiving tasks mixed in. All of it fits comfortably inside a standard work week.

The Role

This role is responsible for researching, identifying, quoting, and coordinating parts for service work and customer needs. It also includes some light, hands-on tasks around our (currently small) parts inventory — keeping things tidy, handling occasional manufacturer returns, and helping receive the occasional delivery.

You will report to the Service Operations Leader (SOL) and work closely with technicians in the field, service leadership, manufacturers and vendors, and customers.

What Success Looks Like

  • Gets the right part the first time
  • Takes ownership of complex part research (doesn’t guess)
  • Keeps our small parts area tidy and organized, and knows what’s on hand
  • Handles manufacturer returns without things falling through the cracks
  • Moves quickly but never sacrifices accuracy
  • Builds trust with customers through reliability
  • Identifies opportunities to support and grow the business

Core Responsibilities

Technical parts research — the priority:

  • Identify correct parts for complex systems and equipment
  • Work through manufacturer documentation, BOMs, and support channels
  • Validate part numbers and compatibility before quoting or ordering

Quoting, order execution and customer support:

  • Prepare accurate parts quotes and process orders
  • Communicate directly with customers regarding parts needs and timelines
  • Coordinate with dispatch and technicians so jobs are properly equipped

Light warehouse and receiving duties — a minor part of the week:

  • Keep our small parts and stock area clean and organized
  • Handle manufacturer returns as they come up
  • Occasionally help unload a delivery truck (forklift training provided)

Parts business growth:

  • Identify opportunities to grow parts revenue through trust and responsiveness
  • Follow up on quotes and open opportunities; build long-term customer relationships

What We’re Looking For

  • Extremely detail-oriented, with a strong sense of ownership
  • Driven to get the right answer, not the fast answer
  • Doesn’t mind occasionally pitching in on light physical tasks
  • Clear, confident communicator who brings energy and urgency to their work

Physical Requirements

  • Occasional forklift use to help receive a delivery truck (Access will train and certify — infrequent, not a daily requirement)
  • Ability to lift and carry parts as needed
  • Comfortable working in a combined office and light-warehouse environment

Preferred Background

Helpful but not required: parts coordination or service support experience, mechanical, electrical or HVAC exposure, and ERP or service system experience. We will train the right person with the right mindset.

Compensation

  • Hourly pay: $22–$26 per hour
  • Performance bonus: target 6% of annual earnings, tied to parts gross profit, parts revenue and execution — with accelerators up to 125% payout

Let’s talk about what can’t go down.
