Position Summary
We're looking for an Executive Assistant to work as a true partner to one of our leaders: someone who protects their time, keeps them prepared, and makes sure commitments get done without the executive having to chase them.
This is not a traditional admin role. You'll be measured on how effective the executive is, not on how busy you are.
This role is ideal for someone who:
- anticipates what is needed before being asked
- builds systems instead of reinventing the wheel
- handles confidential information with discretion and good judgment
- follows through until things are actually done
You will be the person who makes sure nothing stalls, nothing gets lost, and the executive is never left wondering what happened next.
What You’ll Own
Calendar & Time Protection (Guard the Executive's Time)
- Own the executive's calendar, daily schedule, and priorities
- Screen meeting requests and make sure each one fits current priorities
- Protect focused work time in every scheduling decision
- Handle or redirect non-essential items before they become interruptions
- Spot recurring time drains and get rid of them
Meetings & Follow-Through (Turn Meetings into Action)
- Prepare agendas, materials, and background ahead of every meeting
- Capture decisions and action items during or right after each meeting
- Track action items to completion, with clear owners and deadlines
- Keep recurring meetings on schedule and ready every time
Priority Tracking (Keep Everything Moving)
- Maintain one tracking system for the executive's key initiatives, priorities, and commitments
- Follow up on deliverables on the executive's behalf
- Flag delays, risks, and misalignment early, before they need executive attention
Decisions & Escalation (Know What to Handle and What to Raise)
- Make routine, low-risk decisions on your own
- Resolve or route issues when the executive's intent is clear
- Escalate only high-impact or precedent-setting matters
- When you escalate, bring context and a recommendation, not just the problem
Operational Awareness (See Problems Coming)
- Identify bottlenecks that affect leadership priorities before they grow
- Notice friction or misalignment between departments and flag it early
- Bring recommended solutions along with the issues you raise
Travel & Logistics (Handle Every Detail)
- Plan and manage executive travel, lodging, and itineraries from start to finish
- Build in contingencies for delays and changes
- Coordinate in real time while the executive is on the road
- Prepare materials, contacts, and talking points before each trip
- Submit expense reports accurately and on time
Briefings & Preparation (Make Sure They Walk In Ready)
- Prepare the executive for internal meetings and high-stakes external ones
- Write short pre-reads the executive can review in under 10 minutes
- Debrief after key meetings to capture follow-ups and improve future prep
Who You'll Work With
- The President / Owner
- Department leaders across the company
- Our sales team, on meeting prep and strategic opportunities
- Manufacturers, vendors, and select key customers, on the executive's behalf
- Accounting, on expenses and invoice approvals
- Outside advisors and peer groups
What Success Looks Like
- The executive's time goes to strategy, customers, and leadership instead of firefighting
- Every meeting ends with clear decisions, owners, and next steps
- Action items move forward on schedule without the executive chasing them
- Escalations arrive with full context and a recommended path forward
- Interruptions go down month over month
What We’re Looking For
Must-Haves
- Sound judgment and discretion with confidential information
- Clear, precise communication: you can summarize, frame, and speak in the executive's voice
- Strong organization and follow-through
- Comfort with AI and digital tools, and an eye for what can be automated
Traits That Will Make You Successful Here
- You act as an extension of the executive and earn trust through follow-through
- You build repeatable processes and write down how things get done
- You anticipate needs and bring solutions, not just problems
- You stay calm under pressure and create structure where there isn't any
- You learn the business before you try to change it, and you ask good questions
- You don't let things fall through the cracks
Why Join Access
- Work directly alongside company leadership
- A role with real influence on how the company runs
- Room to build the systems and processes behind the role
- Be part of a growing company in mission-critical infrastructure
